Notes for Participation
To ensure a smooth and enjoyable experience, please review the following important notes regarding participation in the event
1. WDF World Cup Package
The official package is designed to ensure a smooth and convenient experience for all participants, covering all WDF official schedules and services.
The package includes:
- Accommodation: Stay at the official hotel.
- Breakfast: Daily breakfast provided at the hotel.
- Lunch: Lunch provided on 5 competition days.
- Opening Ceremony & Gala Dinner: Special event meals included.
- Airport Transfers: Pick-up and drop-off services between the airport and hotel.
Note: The package price is based on per person.
2. Official Schedule & Accommodation
Official Hotel
The official hotel for the tournament is Kintex By K-Tree Hotel, located right next to the venue, KINTEX. The tournament venue, Exhibition Hall 10 in the 2nd Exhibition Center, is a 5 to 8-minute walk from the hotel.
The accommodation package includes a 6-night stay from Monday, September 22, 2025, to Saturday, September 27, 2025.
- Check-in: September 22, from 15:00
- Check-out: September 28, by 11:00
Room Availability
- Twin Rooms: 227 rooms (capacity: 454 guests)
- Double/Single Rooms: 147 rooms (capacity: 297 guests)
- Important Note: Most participants prefer twin rooms. Reservations for twin rooms will be made on a first-come, first-served basis. Once twin rooms are fully booked, reservations will automatically proceed for double or single rooms.
Check-In and Check-Out Policies
- Standard Check-In/Check-Out
- Check-In: 15:00
- Check-Out: 11:00
- Early Check-In & Late Check-Out (Additional Fees Apply)
- Early Check-In: ₩10,000 per hour (applies until 15:00). Availability depends on hotel occupancy on the day prior to arrival.
- Late Check-Out: ₩10,000 per hour (applies between 11:00 and 17:00). Check-outs after 17:00 will incur an additional night's charge.
Availability for early check-in or late check-out must be confirmed directly with the hotel after booking is finalized.
Sustainability Policy
Starting January 2024, due to a Presidential Decree limiting the use of disposable items in accommodations with 50 rooms or more, certain amenities will not be provided.

3. Meals
Opening Ceremony
- At the Opening Ceremony, a simple dinner (e.g., sandwiches or burgers) will be served at the venue for all participants.
Breakfast
- Breakfast is included with your accommodation booking.
- Participants will receive breakfast tickets upon check-in at the hotel lobby.
During Events (September 23–27)
- Lunch Tickets:
- 5-day lunch tickets will be provided to all participants during the event.
- These tickets can be exchanged for lunch at the food trucks located at the venue.
- A variety of food options will be available, with 3–4 different food trucks operating daily.
Extra Food Truck Tickets
- For additional lunch or dinner, participants can directly purchase meals from the food trucks at the venue.
- The price range for a single menu item will be 6–12 USD (approximately 9,000–15,000 KRW).
4. Gala Dinner
The Gala Dinner will take place after the conclusion of the event on Saturday, September 27th.
Details
- The exact schedule will be announced closer to the date.
- The Gala Dinner will be served in buffet style, offering a variety of menu options to cater to different dietary preferences, including halal and vegetarian options.
- Basic beverages such as water, juice, and coffee will be provided. Alcoholic beverages will be available for purchase.
Venue and Tickets
- The Gala Dinner will be held at the event venue (same as the tournament venue).
- Gala Dinner Tickets will be required to participate and enjoy the dinner.
- These tickets will be provided to all participants by the host.
5. Transportation
Participants can request airport pick-up services, which will operate between the official hotel and designated airports.
Pick-Up Request Process
- To arrange for airport pick-up, participants must provide their travel schedule to Korea in advance.
- Once your pick-up is reserved, the organizing team will provide you with a detailed guide, tailored to your schedule, on how to use the designated transportation service.
Pick-Up Options
Depending on the schedule and number of passengers, one of the following options will be provided:
- Group Bus: Accommodates approximately 30 passengers.
- Private Van: Accommodates approximately 5 passengers per car.

Important Notes
- Pick-Up Route:
Airport pick-up service is available only between the designated airports and the official hotel.
If you plan to stay at another hotel for sightseeing before or after the event, it is recommended to use a private taxi for convenience.- Estimated taxi fare:
- Incheon to Seoul: KRW 45,000–55,000 (approximately USD 30–38 per sedan taxi).

The airport-to-hotel schedule will be finalized after consolidating participants' arrival times. Pick-up services will be arranged approximately every 45 minutes.
6. Additional Accommodation Booking
Participants have the option to book additional nights at the official hotel or explore other accommodation options outside of the event schedule.
Additional Nights at the Official Hotel
- The official hotel provides rates for extended stays before or after the event. (Refer to the above extra charge information)
- Specific rates for additional nights will be included in the Package Booking Form provided to participants.
Booking Process
- Requests for additional accommodations at the official hotel can be made using the Package Booking form.
Alternative Accommodation Options
- For participants wishing to stay in Seoul city center or another city, the Korea Darts Federation will provide guidance and recommendations for alternative accommodations and travel plans.
- Note: Participants or their respective countries must handle the hotel booking and payment directly for any alternative accommodations.

7. 2025 WDF Korea Open
The 2025 WDF Korea Open will take place following the conclusion of the 2025 World Cup on Sunday, September 28th.
Event Details
- Date: Sunday, September 28, 2025
- Classification: WDF Gold Event
- Entry Fee:
- USD 45 / per person
- The entry fee is separate from the World Cup package price.
Further details about the event, including the schedule and format, will be announced in the near future.

8. For Participants Not Staying at the Official Hotel
Participants who choose not to stay at the official hotel and arrange separate accommodations will be subject to an event service fee of approximately USD 315 per person (excluding the Gala Dinner).
Important Notes:
- Service Fee:
- The service fee includes access to the event and tournaments.
- The Gala Dinner is not included and must be purchased separately if desired.
- Airport Pick-Up Service:
- Participants not staying at the official hotel are not eligible to request the airport pick-up service.

9. Event Package and Tournament Entry Process
To ensure smooth participation in the 2025 WDF World Cup & Korea Open, please follow the outlined steps below:
Official Hotel Booking Deadline
- All reservations and payments must be completed by June 30.
- Starting from July 1, the official hotel will open to the general public, and room availability during the event period cannot be guaranteed.
1. Package Booking Form Distribution
- The WDF Principal Contact will receive an email containing the package booking form.
2. Contents of the Booking Form
The reservation package will include the following documents:
- Event Information & Notes :
- Details about the tournament and venue (to be shared by January 2025).

3. Invoice Issuance
- Based on the submitted reservation information, an invoice will be sent to each participating country.
- Payment Deadline: June 30, 2025.
4. Final Participant List and Additional Information
- Participating countries must provide the following details to WDF by August 31, 2025:
- Tournament and Event Participant List: Names of all participants, including players and officials.
- Participant Photos: For event website and catalog.
10. Visa Application
Most European, American, and Oceanian countries do not require a prior visa to enter Korea.
However, some countries in Africa, the Middle East, and Central Asia do require a visa.
Please check in advance whether a visa is required for entry into Korea.
- To issue visas for entry to Korea, participating countries requiring additional invitation documents must submit the necessary information, including the player’s name and passport number, to receive an Official Invitation Letter from KDF. This information must be provided at least three months in advance.
- While the criteria and procedures for visa issuance vary by consulate in each country, the process generally takes around two months. Since it may be difficult to purchase airline tickets before obtaining a visa, applying for a visa at least three months in advance is the safest approach.
- The Korea Darts Federation (KDF) supports the visa application process in the following ways:
- Providing an official invitation letter with detailed information about the tournament.
- Submitting tournament information to the relevant embassy or consulate and formally requesting visa issuance, if necessary.
- Please note that, in some cases, host countries may request a financial guarantee for participants' stay to issue visas. However, the KDF does not provide legal guarantees for participants' stays.
- Visa applications must be submitted directly to the consulate or embassy in your country. Beyond the tasks specified above, the KDF will not handle the visa application process on your behalf.
